Automated Pre-Billing Checks

A client came to us as they were struggling with inconsistent billing data for their hourly rate charges for their different customers – invoices were missing expenses, absent of invoice references, and time-consuming searches and work were being undertaken to attach supporting documents and make manual changes to invoices. This was creating delays and unnecessary administration for both the service team and those in the accounts team.

We built a system that enforced the collection of three critical data points – client details, reference number, and invoicing information – for each instructed correspondent before a bill could be generated. The system prompted users to capture and correctly label information as part of their regular workflow, meaning all billing data was already in place by the time they reached the final accounts stage.

The result was a dramatically streamlined billing process, with the system automatically generating fully populated bills. Account teams could access all key billing information and invoices from a single screen, saving significant time and improving accuracy.

Conveyancing Case Automation

Conveyance teams were losing valuable time manually creating cases and duplicating data entry. Although client information was often collected online during the quote process, that data wasn’t being reused effectively, and case creation remained slow and repetitive.

We designed an automated workflow that pulled quote data directly from the client’s website to instantly create a new case in their case management system. For instructions taken offline, a spreadsheet submission to a dedicated inbox allowed the same automation process to run. From there, initial documents were generated and sent without user input, while task reminders and client communications (like text chasers) were triggered automatically.

This system eliminated hours of manual admin, allowing fee earners to handle more cases with greater efficiency and fewer delays.
